Privacy Policy

This Privacy Policy explains how PVT Systems, LLC ("PVT Systems," "we," "us," or "our") handles information in connection with our software products, the CRM Dashboard and the LLM Search Engine (together, the "Services"). This Policy applies to our business customers ("Customer") and their authorized users.

Account and Contact Information: When Customer sets up an account or communicates with us, we may collect names, business email addresses, company name, and role.

Billing Information: Payments are processed through our third-party payment processor, Stripe. We do not directly collect or store full payment card numbers. Stripe's own privacy policy governs its handling of payment data.

Usage Information: We may, now or in the future, collect limited technical and usage information about how the Services are used (for example, feature usage or login activity) to support, maintain, and improve the Services. Where this applies to a specific Customer, we will describe the scope of this collection in the applicable order form or a policy update.

The LLM Search Engine is designed to run fully offline, on Customer's own local or private infrastructure. PVT Systems does not access, view, collect, transmit, or store the content of any documents Customer uploads to or processes through the LLM Search Engine.

Where a Customer enables remote access to its local deployment through a network tunneling or firewall service (currently Cloudflare), that service is used only to route encrypted network traffic to Customer's own environment. It does not provide PVT Systems with access to, or visibility into, the underlying documents or search content.

Similarly, data entered into a Customer's CRM Dashboard instance is stored and used within that Customer's own configured environment and is not accessed by PVT Systems except as needed to provide technical support, with Customer's knowledge.

Information we do collect (as described in Section 2) is used to: provide, maintain, and support the Services; process payments; communicate with Customer about the Services; and improve our products. We do not sell Customer or user information to third parties.

We use reasonable administrative, technical, and physical safeguards designed to protect the limited information we do collect. Because the LLM Search Engine is deployed locally, the security of document content is also dependent on Customer's own environment, access controls, and network configuration; we will work with Customer to document reasonable security practices as part of onboarding.

We rely on limited third-party providers to operate our business, including Stripe for payment processing and Cloudflare for secure remote network access to local deployments. These providers process information under their own privacy policies and terms.

We retain account, billing, and usage information for as long as reasonably necessary to provide the Services, comply with legal obligations, and resolve disputes. Because document content processed by the LLM Search Engine is not collected by us, retention of that content is entirely controlled by Customer within its own environment.

Customer may request correction or deletion of the account and billing information we hold by contacting us using the information below. Because we do not hold Customer's document content, requests relating to that content should be handled directly within Customer's own local deployment.

The Services are intended for business use and are not directed to individuals under the age of 18. We do not knowingly collect information from children.

We may update this Privacy Policy from time to time. Material changes will be communicated to Customer in advance of taking effect.
